Quail Run PTO  Meeting - Agenda & Notes

February 8, 2024   6:00 pm  Murf's Grille

Recent Events/Recaps

  • Dine & Donate

  • QR Spirit Wear

  • Krispy Kreme sales - 124 dozen donuts

    • Raised 1,104.75 (goal was $1000)

    • Pickup sat 9-11

    • J&S coffee sale on Sat during pickup


Girl Scout Presentation

  • Painting the US map on the big kid playground

  • Would love support from PTO with donation or fundraising

    • Have held a bake sale fundraiser

  • Redo existing colors

  • Earning a silver award

    • 50 hours

    • Do something to help your community

    • With a team of up to 4 or as individuals

    • Cost estimate ~ $80 per gallon for weatherproof blacktop paint

      • 5 colors

      • Black paint for the outside

      • Estimate from Sherwin Williams

      • Paint rollers, tape, and misc supplies

      • Will ask about sealer

      • Cones to block 

    • Measurements taken

    • Discussed with Mr. Polk at the carnival last year

    • Timing, needs to be complete by the end of the summer

    • If enough hours remain in the project, and budget permits, troop might power wash the world map and replace with the state of KS and label landmarks

    • Fundraising ideas

      • Host a girl scout related scavenger hunt

      • Percent of profits from QR movie night

      • Corporate donations

      • Bake sale

    • At QR Carnival, Girl Scouts will hold a bake sale and possibly include other items like bracelets.

      • PTO will include the troop in Carnival planning

  1. Valentine’s Parties

    1. 2/13 - Party Prep night

    2. 2/14 - Classroom Parties 9-9:30 am (same day as super bowl parade)

      1. Volunteers arrive at 8:30 am

      2. Parents must be on the volunteer sign up genius to enter the building before 9 am.

    3. Party Details:

      1. Snack Mix and Juice

      2. Craft - Heart hedgehog - K / 2. Love bugs - 3D love bugs  3 / 5

      3. Activity/Game - Heads up 7 up .  Hot potato with bean bags as a backup if needed.

      4. Early Finisher Sheets - are printed, in office


  1. Dine & Donate 

    1. 2/8 at Jason’s Deli 10 am - 8 pm

    2. 2/22 at Chipotle 4 pm - 8 pm

    3. Picklemans will run again

    4. Discussion re: having a Murf’s Dine & Donate night


  1. Book Fair

    1. Student Poster Contest 1/26 - 2/13

    2. Grade level coin drive 2/16 - 2/29, popcorn class party prize

    3. 2/18 - School/Library Decorating for Book Fair 2:30 - 3:30 pm

    4. Book Fair Dates 2/23 - 2/29

    5. 2/29 - Pancake Feed (last night of book fair for in person shopping)

      1. Will need volunteers, Stacie will send a sign up genius.


  1. Kids Night Out at LGA - 2/18 - Grades K-2. 2/25 - Grades 3-5.

    1. About 10 spots left for each group

    2. Sign ups close 5 days before each kids night


  1. Talent Show - 4/7

    1. Moved from 3/23 to avoid March Madness NCAA Tournament

    2. Middle School boundary conversation/decision could impact QR feeding to West MS

      1. Board presentation on 2/26

    3. Stacie will be sending out a sign up form soon.


  1. Carnival Planning

    1. Discussion regarding getting carnival planning underway.

    2. Girl Scouts will hold a bake sale at Carnival this year to raise funds for their Silver Award project

    3. Erika will send an email to those who checked the Carnival box on the PTO interest form

    4. Blair, Nicholas, and Kyra have been added to the Carnival committee volunteer list


  1. Spring Movie Night - possible date 5/3

    1. Possibly pivot to playground playdate 

    2. Glow sticks, S’mores, Concessions, possibly include dinner

Meeting Adjourn, next PTO meeting to be held after Spring Break on March 21st at Murf’s Grille, 6 pm.  


Committees and Chairs expectations:

  • Each Committee has an assigned PTO co-chair liaison

  • All Committees must send representation and provide updates at Monthly PTO meetings.

  • All Committees must have regular communication/updates sent via email using Google Groups, which include PTO officers

  • All Committees with a budget must track expenses on Google Sheet provided by the PTO Treasurer. An email was sent to each committee with instructions on how to use the forms to report revenue and expenses, if you did not see an email please let us know.
